Reports to: Head of HR and Volunteer Management

Department: Human Resources

Location: Berlin, Germany

Hours: 32-40 h per week

Salary: 24 - 26 k € per year, depending on experience and qualifications

Role Summary

We are looking for an HR Administrator to support our Human Resources Department. You will act as the first point of contact for internal and external HR-related queries and be responsible for HR administration.



  • Organising and maintaining personnel files

  • Updating internal databases (e.g. record leave)

  • Drafting HR documents (e.g. employment contracts, references)

  • Liaising with external partners (e.g. insurance providers), and ensuring legal compliance

  • Creating regular reports and presentations on HR metrics (e.g. turnover rates)

  • Providing staff support in all HR-related issues

  • Liaising with the payroll department and providing relevant employee information (e.g. absence, sick days and work schedules)

  • Arranging travel accommodations and process expense forms

  • Supporting HR projects (e.g. help organise a job fair)

  • Minute-taking


  • Proven experience working as an HR Administrator, or a similar role

  • Experience in of working with HR software (desirable)

  • Ability to work accurately and efficiently, with a high level of attention to detail

  • Ability to work to tight deadlines and manage priorities

  • Excellent organisational skills

  • Pro-active problem-solving skills  and ability to identify potential improvement and streamlining of processes

  • Excellent communication skills in English; German language skills preferred

  • Communicating effectively with a wide range of people, both in person and via telephone

  • Willingness to take over additional tasks as and when they arise

  • Maintaining confidentiality and professionalism at all times

  • Promoting positive team dynamics by sharing knowledge and supporting colleagues

  • Excellent interpersonal skills and ability to deal with all staff issues in a respectful and compassionate way
